Help Centre AI Statement

Last updated: April 14, 2026

This page explains how BigBongo uses artificial intelligence in its Platform, what our AI does and does not do, how we keep humans in control of all important decisions, and how to get in touch if something does not seem right.

What does BigBongo's AI do?

BigBongo uses AI to help organisations understand how work actually happens across their teams — the processes, decisions, tools, and knowledge that keep things running. Our AI does this by:

  • Conducting structured interviews with your employees via voice or text, asking about their roles, workflows, and the tools they use
  • Synthesising interview data across multiple employees to identify patterns, inconsistencies, bottlenecks, and areas of concentrated knowledge
  • Connecting findings to your goals, mapping what we learn against the KPIs, OKRs, and strategic priorities your leadership defines
  • Generating reports that give your leadership team a clear, evidence-backed picture of how the organisation operates and where to focus

Think of BigBongo's AI as an always-available organisational analyst — one that can interview everyone, synthesise everything, and present the findings in a structured, actionable format.

What BigBongo's AI does NOT do

This is equally important. Our AI:

  • Does not make decisions about people. BigBongo's AI does not evaluate employee performance, recommend promotions or dismissals, set compensation, or take any action that affects an individual employee's employment status or working conditions.
  • Does not score individual employees. There are no individual performance scores, reliability ratings, or capability rankings. AI Readiness scores are calculated at the team or department level, not per person.
  • Does not assess emotions. Our AI analyses what employees say about their workflows and processes — not how they feel. We do not analyse voice tone, facial expressions, or any other signal to assess emotional states.
  • Does not take autonomous actions. BigBongo's AI produces reports and findings that are presented to human decision-makers. It cannot trigger any process, send any notification outside the Platform, or take any action on its own.
  • Does not remember your data between sessions. Each AI interview and synthesis job is processed independently. Our AI does not build a growing memory of your data over time.
  • Does not train on your data. Your organisation's data is not used to train or improve general AI models.

How does BigBongo's AI work?

Step 1 — Your leadership sets the context. Before any interviews begin, your leadership team defines what matters: your KPIs, OKRs, strategic priorities, and the parts of the organisation to assess. This shapes the interviews so they focus on what's relevant.

Step 2 — Employees are interviewed by BigBongo's AI. The AI conducts a structured conversation — adapting its questions based on each employee's responses — to build a detailed picture of their processes, tools, knowledge, and challenges. Every employee is told they are speaking with an AI system before the interview begins.

Step 3 — BigBongo's AI synthesises the findings. Across all interviews, the AI identifies patterns: processes that work differently across teams, knowledge that lives in one person's head, workflows that block AI adoption, and opportunities to save time and money. This synthesis is tied to your leadership's goals.

Step 4 — Your team reviews the outputs. Reports, findings, and roadmaps are presented to your leadership team for review. All outputs are clearly labelled as AI-assisted. Your team decides what to do with the information.

How accurate is BigBongo's AI?

BigBongo's AI is a powerful analytical tool, but it has limitations:

Interview synthesis and process documentation: High accuracy for structured, clearly described processes; lower where interview coverage is thin or process descriptions vary significantly between participants

Cross-team pattern identification: Accuracy improves with interview coverage; findings based on low number of participants per process should be treated as indicative

AI Readiness Scores: Calibrated benchmarks; useful for relative comparisons between departments; not a precise technical measurement

ROI projections: Model estimates based on interview data; should be validated against your organisation's actual cost and operational data before being relied upon

BigBongo recommends that all Platform outputs are reviewed by a qualified human decision-maker and validated against other sources before any significant organisational decision is made.

Who sees employee interview data?

Within your organisation: Your designated Platform administrators (as configured by your organisation) can access interview data. Per-person process documentation is restricted to administrators by default — it is not visible to line managers or colleagues unless your organisation configures otherwise.

Employees: You can always review your own per-person process documentation to verify it is accurate and request corrections.

BigBongo: BigBongo accesses interview data as a data processor acting on your organisation's instructions, solely to provide the Platform's services. BigBongo does not access individual interview content for any other purpose. See our Data Processing Addendum for full details.

No one else: Interview data is not shared with any other party except as required by law or as directed by your organisation.

How does BigBongo protect employee privacy?

Privacy is built into the Platform by design:

  • Employees are always told they are speaking with AI before an interview begins
  • Data is encrypted in transit and at rest using industry-standard encryption
  • Access is role-controlled — only authorised administrators can access interview data
  • Your data stays in the EU
  • Data subject rights — employees can access, correct, or request deletion of their data through their organisation's designated contact
  • No cross-customer data sharing — your organisation's data is completely isolated from other BigBongo customers

For full details on how we process personal data, see our Privacy Policy and Data Processing Addendum.

What is BigBongo's EU AI Act classification?

BigBongo has assessed its Platform under Regulation (EU) 2024/1689 (the EU AI Act) and classified it as a “non-high-risk AI system” under Article 6(3) of the Act.

This means:

  • The Platform is designed and operated as an advisory, human-supervised tool
  • It does not make autonomous decisions affecting individuals
  • It does not perform profiling of natural persons
  • It is not used for recruitment, HR decisions, or performance evaluation

What should I do if something seems wrong?

If you are an employee who has been interviewed:
If you believe your interview data has been inaccurately captured, used in a way you were not told about, or used for a purpose that seems inappropriate (such as to evaluate your individual performance), contact your organisation's HR or Data Protection team in the first instance. You may also contact BigBongo at [[email protected]] if you have concerns that BigBongo has not fulfilled its data protection obligations.

If you are an administrator or customer user:
If you notice the Platform producing unexpected, inaccurate, or potentially harmful outputs, contact us immediately at [[email protected]]. We will acknowledge your report within one business day and investigate promptly.

If you believe the Platform is being used in a prohibited way:
If you believe the Platform is being used for a purpose that violates the EU AI Act (for example, to evaluate individual employee performance or to make HR decisions without human review), contact us at [[email protected]]. BigBongo takes these reports seriously and will investigate.
